How to Use Time Tracking in FieldPad.io The Time Tracking module lets employees log hours worked, link entries to customers and tickets, and submit time for review. This guide walks you through every key action. Accessing Time Tracking In the left sidebar, click SCHEDULE , then select Time Tracking . Your personal time entries appear under the My Time tab. Managers can view all entries under the All Entries tab. Creating a Time Entry Click the + New Entry button at the top right of the page. Fill in the required fields: Date — the date the work was performed. Start Time / End Time — used to calculate duration automatically. Duration — alternatively, type a duration directly (e.g., 1h 30m , 90m , or 1:30 ). Description — a brief note about the work done. Optionally link a Customer and a Ticket using the dropdowns. Click Save . The entry is created in Draft status. Using the Live Timer Open a time entry in edit mode and click Start Timer to begin tracking time in real time. Click Pause to temporarily stop the clock; click Resume to continue — accumulated time is preserved across pauses. Click Stop Timer when finished. Elapsed time is added to the Duration field automatically. Linking a Customer or Ticket While editing an entry, click the Linked Customer dropdown and search by name. Once a customer is selected, the Linked Ticket dropdown shows only their tickets (open and resolved). Select the relevant ticket. To clear a link, open the dropdown and choose None . Submitting for Approval When your entry is ready, click Submit on the entry detail page. The status changes from Draft to Submitted . Submitted entries cannot be edited until a manager acts on them. Approval Workflow (Managers) Go to SCHEDULE → Time Tracking → All Entries to see every employee's submitted entries. Open an entry and click Approve to confirm it, or Reject (with an optional note) to return it to the employee for correction. Managers may also reassign an entry to a different employee using the Employee dropdown in edit mode. Adding a Time Entry to an Invoice Approved entries linked to a customer can be billed by adding them as line items on an invoice. Open the invoice, click Add Line Item , and select the time entry from the dropdown. To remove a time entry from an invoice, open the entry detail page and click Unlink from Invoice . Deleting a Time Entry Only Draft or Rejected entries can be deleted. On the My Time list, click the trash icon on the right side of the row and confirm in the dialog. Tips Filter the list by date range, status, or employee using the filter bar at the top of the page. Duration accepts flexible formats: 1h 30m , 90m , 1.5h , or 01:30 all resolve to 1 hour 30 minutes. Linking tickets to time entries makes it easy to generate accurate customer invoices and maintain a complete service history.
