How to Use Referrals & Rewards

Step-by-step guide to setting up and using the Referrals & Rewards feature in FieldPad — programs, referrers, codes, payout rules, form integration, and conversion tracking.

Referrals & Rewards — How to Use It Referrals & Rewards lets you run a referral program where people (customers, partners, or anyone you choose) share a unique tracking link. When someone follows that link and fills out a form or becomes a customer, the referrer earns a reward and you track every step automatically. Step 1 — Create a Referral Program Go to Marketing → Referrals & Rewards . Click New Program (or follow the setup wizard on your first visit) Give it a name (e.g. "Customer Referral Program") Set it to Active and save A program is the container — it holds the rules for when rewards are paid and who can participate. Step 2 — Add a Referrer A referrer is the person who will be sharing links on your behalf. Go to the Referrers tab Click Add Referrer and enter their name and email Set the type: Affiliate (external partner) or Internal (your own staff) Save — each referrer gets a secure Referrer Portal link to see their own stats, grab their tracking link, and view payout history Step 3 — Create a Referral Code A code is what gets embedded in the tracking link. Inside the referrer's record, click Add Code Choose the destination — where people land when they click the link: Your hosted form — a form you built in FieldPad Landing page — a customizable page inside FieldPad External URL — any page on your own website Optionally set a max use limit, expiry date, or campaign name Save — the tracking link is generated automatically (e.g. yourapp.com/r/yourbusiness/ABC123 ) Step 4 — Set Up a Reward Rule (optional) Reward rules define when a referrer earns money and how much. In your program, go to Payout Rules → Add Rule Choose a trigger : Lead created — referrer earns when a form submission becomes a lead Customer created — referrer earns when the lead converts to a customer Invoice paid — referrer earns when that customer pays an invoice Set the reward: a fixed amount (e.g. $50) or a percentage of the invoice (e.g. 10%) If no rule is set, clicks and conversions are still tracked — you can pay referrers manually from the Payouts tab. Step 5 — Connect it to a Form If using a FieldPad-hosted form: The referral code is automatically passed via ?ref= in the URL — nothing extra needed. If embedding a form on your own website: Go to Marketing → Forms , open your form and click Embed Go to the Referral tab Copy the iFrame + Relay Script snippet and paste both blocks onto your website page The script reads ?ref= from your page URL and passes it into the embedded form automatically To add a Referral Code field to your form (for auto-fill or manual entry): Open the form in the Form Builder and drag in the Referral Code field In the field settings, enable Auto-populate from URL and Hide when URL referral is present — this fills the code silently so visitors don't see it Enable Attach to lead so the referral is linked to the new lead record Step 6 — Share the Link Send the referrer their tracking link. They can also log into their Referrer Portal to grab the link themselves, download a QR code version, and see their click count, conversion count, and earnings in real time. Step 7 — Track Conversions The dashboard in Marketing → Referrals & Rewards shows: Clicks — how many times the referral link was clicked Conversions — leads that became customers via a referral Click→Customer % — your conversion rate Pending Payout — rewards earned but not yet approved Total Paid Out — all approved and paid rewards The Recent Activity table shows every event (link clicked, form submitted, customer created) with a direct View link to the related record. Step 8 — Approve and Pay Rewards Go to the Payouts tab — new rewards appear as Pending Review and click Approve Once paid, click Mark as Paid and add a payment reference Fraud detection automatically flags suspicious activity (self-referrals, high-velocity clicks) for your review before any payout is approved. How the Full Flow Works Here is the complete journey from referral link to conversion: Referrer shares their unique link Visitor clicks → click is logged → visitor arrives at your form or page with ?ref=CODE in the URL Visitor submits the form → form submission is recorded → lead is created → referral code is attached to the lead Lead is converted to a customer → conversion is counted → payout rule fires automatically You approve the payout and mark it as paid → referrer sees it in their portal
